Use this page when you need to prepare an invoice quickly without turning the document into a custom accounting project. The finished invoice should identify the seller, the buyer, the invoice number, the issue date, the due date, the work or items sold, the amount due, and the payment terms. Speed comes from filling the right fields once, then sending a document the client can approve without follow-up.
For ordinary United States businesses, no single federal private-sector invoice form controls the layout. The IRS treats invoices as supporting documents for business transactions and gross receipts, so the invoice should support your records even when the client only needs a payment request. Federal contract work is different because FAR rules define proper invoice fields and payment timing for covered federal procurement invoices.
Start with the header: seller name, seller address, buyer name, buyer address, invoice date, due date, and a sequential invoice number. Add line items with a description, quantity, rate, and extended amount. Finish with subtotal, discount if used, tax line if applicable, total due, payment terms, remit-to details, and a short note for purchase order or project references.
Keep the document separate from nearby forms. An invoice requests payment for goods or services. A receipt proves payment received. An estimate or quote gives a pre-work price offer, with a quote usually carrying firmer commercial weight than an estimate. Mixing those labels slows payment because the client has to decide whether the document asks for approval, payment, or record filing.
Fast does not mean bare. A client still needs enough information to match the invoice to the work, route it internally, and pay the right party. A line such as "Design work, 12 hours × $85, $1,020" beats a vague "Services, $1,020" because it explains the charge without adding unnecessary pages. A clear due date also beats a loose phrase such as "pay soon."
Sales tax deserves a separate check before you send the invoice. The United States has no national VAT or GST invoice regime, and there is no single national sales tax rate. State and local rules control taxability, nexus, rate, and place of sale. Washington, for example, uses a 6.5% state portion plus a local portion based on where the customer receives the goods or services.
A fast template is enough for a one-time bill, a small fixed-fee project, or a client that only needs a PDF with basic billing details. It works best when the amount is already known, the tax treatment is already settled, and no one needs to reconcile billable time later. Save the invoice with the supporting agreement, timesheet, or delivery record.

A fast invoice should skip sales tax only when the sale is not taxable, the seller is not required to collect it, or the transaction falls outside the seller's registered sales-tax obligations. United States sales and use tax rules are state and local, so taxable status depends on nexus, product or service type, buyer location, and the applicable jurisdiction.
A fast invoice template creates a payment request after goods or services are delivered or billable work is ready to charge. A receipt confirms payment received. A quote or estimate gives the buyer a pre-work price. Use the correct label because clients file, approve, and pay each document differently.
Federal contract invoices need more structure than an ordinary private-sector invoice.
