Use a Brazil estimate to describe proposed goods, services, quantities, prices, delivery terms, and approval conditions before the sale becomes billable. An estimate is not the controlling Brazilian tax document. NF-e model 55 covers ICMS/IPI goods and related operations, while NFS-e documents service provision under municipal ISSQN rules and the national NFS-e standard.
The practical goal is approval without confusion. Include the seller and buyer names, CPF or CNPJ where available, estimate number, issue date, validity period, currency, item descriptions, expected taxes or tax treatment notes, payment terms, and signature or acceptance instructions. A buyer should see exactly what is included, what is excluded, and which formal document follows after acceptance.
Brazilian tax invoicing is document-type specific, so do not style an estimate as an authorized Nota Fiscal. An NF-e is a digital-only XML document whose legal validity depends on electronic signature and tax-authority authorization before the taxable event. DANFE is only an auxiliary representation of an authorized NF-e and must reflect the NF-e XML.
Service work follows a different path. NFS-e documents service provision, and Brazil uses ISSQN for services rather than the ICMS and IPI framework tied to goods. MEIs providing services to other businesses must issue through the national public web or mobile issuers from September 1, 2023. Your estimate can prepare the commercial approval, but it does not replace that fiscal step.
A useful estimate reads like a decision document. For a service job, a line can say: "Website maintenance, 12 hours, R$180 per hour, monthly support period, remote delivery, excludes paid plugins." For goods, identify the item, quantity, unit price, delivery responsibility, and whether taxes are estimated or handled later in the authorized fiscal document.
Number estimates separately from fiscal invoice numbers. NF-e numbering must be sequential by establishment and series from 1 to 999,999,999, so informal estimate numbers should not interfere with authorized NF-e controls. Add an expiration date, revision note, and acceptance method so the buyer can approve the current version without later arguing that an older price or scope applied.
A free estimate template is enough for a one-time quote, a small service proposal, or a buyer who only needs a priced scope before approval. It works best when you can manually track revisions, payment terms, tax notes, and the later NF-e or NFS-e handoff without losing context.
