Creating Italian estimates that invoice cleanly

Build an IVA-ready estimate

Use an Italy estimate when you need to send a priced proposal before the customer approves the work. The estimate should identify the seller, the buyer, the work, the expected price, and the commercial terms. It is especially useful for services, project work, repairs, retainers, and custom orders where the final invoice follows approval or completion.

An estimate is not the same document as an Italian VAT invoice. Italian invoices use IVA, imposta sul valore aggiunto, and a standard invoice must carry fields such as issue date, unique sequential number, seller and buyer tax identifiers, itemized taxable amounts, VAT rates, VAT amounts, and totals. The estimate should collect enough detail to make that later invoice straightforward.

Include the right estimate fields

Start with seller details, customer details, estimate number, estimate date, validity period, project description, line items, quantities, unit prices, discounts, taxes, total amount, payment terms, and acceptance instructions. For Italian customers, collect the supplier partita IVA and the buyer VAT number for taxable persons or codice fiscale for Italian private consumers when those details apply.

Each line should explain the nature, quality, and quantity of the goods or services. Show the taxable amount, IVA rate, IVA amount, and total separately when the estimate includes tax. Italy's ordinary IVA rate is 22%, with reduced rates of 10%, 5%, and 4% only for categories listed in the VAT law tables. Put the VAT amount in euros, even if another currency appears elsewhere.

Prepare for Italian e-invoicing

A clean estimate reduces rework when the approved price becomes an invoice. Most domestic Italian B2B and B2C invoices by resident or established VAT operators must be issued as structured XML electronic invoices through the Sistema di Interscambio, subject to specific exceptions under Italian law. That process makes early accuracy matter.

Keep the estimate's commercial number separate from the later invoice's unique sequential number. A standard Italian VAT invoice must show its issue date and a progressive number that uniquely identifies the invoice. For an immediate invoice, Italian VAT rules generally allow issue within 12 days of the taxable transaction date, while the invoice must identify the transaction date where different.
