It is especially useful for services, project work, repairs, retainers, and custom orders where the final invoice follows approval or completion.
An estimate is not the same document as an Italian VAT invoice. Italian invoices use IVA, imposta sul valore aggiunto, and a standard invoice must carry fields such as issue date, unique sequential number, seller and buyer tax identifiers, itemized taxable amounts, VAT rates, VAT amounts, and totals. The estimate should collect enough detail to make that later invoice straightforward.
Start with seller details, customer details, estimate number, estimate date, validity period, project description, line items, quantities, unit prices, discounts, taxes, total amount, payment terms, and acceptance instructions. For Italian customers, collect the supplier partita IVA and the buyer VAT number for taxable persons or codice fiscale for Italian private consumers when those details apply.
Each line should explain the nature, quality, and quantity of the goods or services. Show the taxable amount, IVA rate, IVA amount, and total separately when the estimate includes tax. Italy's ordinary IVA rate is 22%, with reduced rates of 10%, 5%, and 4% only for categories listed in the VAT law tables. Put the VAT amount in euros, even if another currency appears elsewhere.
