An email invoice for Spain should give the buyer a complete, reviewable document without extra back-and-forth. The attached invoice needs the supplier and customer details, a clear invoice number, the correct dates, line items, IVA treatment, total due, and payment instructions. The email itself can stay short because the attachment carries the legal and accounting detail.

Royal Decree 1619/2012 regulates Spanish full invoices. A full invoice must include an invoice number and, where applicable, a series, with sequential numbering within each series. Separate series are required for rectifying invoices and certain other cases. For B2B work, the invoice generally must be issued before the 16th day of the month after the VAT accrual month.

Include the full invoice fields

A Spanish full invoice must show the issue date and the date of the documented supply or advance payment when that date differs from the issue date. It must identify the supplier and customer by full name or business name and address, and it must include the supplier's NIF. The customer's NIF is required for domestic taxable operations and specified cross-border or reverse-charge cases.

Each line should describe the goods or services with enough detail to determine the VAT taxable base. Include the unit price before tax, discounts not already included in that price, the IVA rate, and the VAT amount charged. Spain's indirect tax is IVA, with a 21% general rate, 10% reduced rate, and 4% super-reduced rate. The Canary Islands, Ceuta, and Melilla sit outside the harmonized VAT area.

Send the right file and message

The invoice can be issued in any language and amounts can be expressed in any currency, but any VAT charged must be expressed in euros. A buyer may still request a Spanish version for internal review, and the tax administration can require translation into Spanish or another official language in Spain for audit purposes. A clean PDF attachment with a short payment email usually prevents confusion.

Spain's mandatory B2B e-invoicing system is being phased in under Royal Decree 238/2026. It applies when the recipient is a business or professional established or resident in Spain, except most simplified invoices. Effective dates are deferred until 12 months after the implementing ministerial order for businesses above €8 million annual turnover and 24 months for other businesses and professionals.

A PDF invoice can work for ordinary email delivery when the invoice contains the required Spanish full-invoice fields.
