A life coach needs a rate that covers personal income, business overhead, self-funded benefits, and tax reserves across the hours clients actually pay for. The denominator is client-facing coaching time, not a 2,080-hour employee year. Preparation, intake notes, marketing, networking, credential work, and administration reduce billable capacity.
The calculation also helps you compare session pricing with an implied hourly rate. ICF reported a $244 average and $180 median one-hour coaching session fee globally in 2022, with a $272 North America average. ICF also calculated North America recovered hourly coaching revenue at $98 after supporting work time entered the denominator.
Use this formula: `(target income + overhead + benefits substitute + tax reserve) / billable hours`. A U.S. self-employed life coach generally reports profit or loss on Schedule C and uses Schedule SE for Social Security and Medicare taxes. Quarterly estimated taxes matter because contractor pay has no employer withholding.
For example, a coach wants $72,000 in annual income, expects $10,800 in software, marketing, insurance, credentialing, and office costs, adds $13,200 for self-funded benefits, and sets aside $18,000 for taxes. The total requirement is $114,000. With 950 realistic client-facing hours, the required rate is $120 per coaching hour.
Capacity drives the rate more than the session fee alone. ICF reported that the average active coach practitioner worked 11.9 coaching hours per week and served 12.2 active clients in 2022. That workload includes supporting activities such as preparation, networking, and training, so a coach who sells 15 sessions per week still needs room for unpaid work.
Credentialing also belongs in overhead or capacity planning. ICF credential paths include coach-specific education, coaching experience, and mentor coaching hours, such as ACC requirements of 60+ education hours, 100+ experience hours, and 10 mentor coaching hours. In-person coaching adds travel cost; the IRS optional business mileage rate is 72.5 cents per mile beginning January 1, 2026.
A one-off rate calculation is enough when you price a new offer, check a package margin, or compare a session fee against marketplace ranges. Upwork lists life coach rates at $50 to $250 per hour based on historical contracts worldwide, with beginner, intermediate, and advanced bands. Use those bands as market context, then price from your own costs and capacity.
A managed workflow matters once multiple clients, packages, retainers, expenses, and non-billable work enter the month. Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates amounts from rates while excluding non-billable tasks, and exports invoices to QuickBooks Online, Xero, or FreshBooks with status sync back to Everhour.

Package pricing is common because clients buy outcomes, cadence, and access rather than isolated clock time. The hourly rate still matters as a floor. Divide the package price by expected coaching sessions, preparation, messaging, and administration to see whether the implied hourly rate covers income, overhead, benefits, and tax reserves.
ICF coaching-fee data is the strongest profession-specific benchmark for established coaches. Upwork rates show marketplace positioning, especially for online independent work. BLS SOC 21-1012, Educational, Guidance, and Career Counselors and Advisors, reported a $29.67 median hourly wage in May 2023, but that payroll-derived figure excludes self-employed coaches.
Prep time usually belongs in the denominator as non-billable work unless the client contract bills it separately. A 60-minute paid session can require intake review, notes, resource preparation, follow-up messages, and scheduling. Ignoring that work makes the session fee look stronger than the actual recovered hourly revenue.
Self-employment taxes change the gross rate because a self-employed coach covers both the Social Security and Medicare tax layer. For 2026 estimated tax, net self-employment profit is multiplied by 92.35%, then 12.4% Social Security applies up to the $184,500 wage base and 2.9% Medicare applies without that cap.
Certification costs belong in overhead when they support your positioning, referrals, or client requirements. ICF credential requirements include coach-specific education, coaching experience, and mentor coaching hours, so the cost includes fees and unpaid professional-development time. Spread those costs across realistic billable hours for the year.
