An Excel hourly-rate workbook answers one practical question: what rate covers your target income, business overhead, self-funded benefits, tax reserve, and realistic annual billable hours. Excel handles the worksheet math, but you still choose the assumptions. For U.S. self-employed pricing, those assumptions usually include ordinary and necessary business expenses, federal self-employment and income-tax reserves, and the number of hours clients will pay for.
Excel also helps once the rate becomes an invoice input. A time sheet can convert start and end times into decimal hours with `(end_time - start_time) * 24`, then multiply billable hours by the hourly rate. HOUR(), MINUTE(), and SECOND() return time components, so they do not replace elapsed-hour math across longer entries or multi-hour work blocks.
Use this formula for a U.S. self-employed hourly rate: `(target income + overhead + benefits substitute + tax reserve) / billable hours`. The result is a client-facing rate in USD, not an employee wage. The billable-hour divisor must exclude admin work, proposals, bookkeeping, training, unpaid revisions, and gaps between paid client work.
For example, a freelancer wants $84,000 in income, expects $9,600 in overhead, sets aside $14,400 for self-funded benefits, and reserves $18,000 for taxes. The total rate requirement is $126,000. If the freelancer expects 1,600 billable hours, the hourly rate is $78.75. In Excel, that same structure can sit in named input cells or an Excel table with structured references.
Excel works best when the workbook limits bad inputs before they reach the formula. Data validation can restrict project, role, currency, or billable-status fields to a drop-down list, and the Stop alert prevents entries outside that list. A rate card can use XLOOKUP to return the matching hourly rate from a project, role, or service key, although XLOOKUP is not native to Excel 2016 or Excel 2019.
CSV imports make Excel useful when time entries come from another system. The path `Data > Get Data > From Text/CSV` can detect delimiters, headers, and column types, then load the entries into a worksheet or table. Excel can export worksheet data to CSV, subject to the 1,048,576 row by 16,384 column worksheet limit. The next step still needs review, rate mapping, and invoice or payroll handling.
Excel can hold tax gross-up inputs, but it does not decide the correct U.S. tax reserve for you. A U.S. sole proprietor or independent contractor generally reports business profit or loss on Schedule C and uses Schedule SE to calculate Social Security and Medicare taxes on self-employment income. Self-employed individuals generally pay estimated taxes quarterly because no employer withholds income tax, Social Security, or Medicare tax from contractor pay.
For 2026 estimated tax, net self-employment profit is multiplied by 92.35%. That amount is subject to 12.4% Social Security up to the $184,500 wage base plus 2.9% Medicare. Additional Medicare Tax applies above $200,000 for single filers and $250,000 for married filing jointly. Keep those tax inputs separate from the rate formula so you can update them without breaking the workbook.
