Time tracking with QuickBooks integration is for turning work hours into accounting-ready billing data. QuickBooks Online can support employee time on invoices and project profitability, but the time record still needs the right client, project, date, person, billable status, and rate before accounting receives it. A clean workflow starts where the work happens and ends with an invoice draft or payroll review file that matches approved time.
QuickBooks Online is the accounting side of the workflow. In Everhour's QuickBooks Online integration, QuickBooks contacts sync into Everhour as clients, including invoicing details such as name, address, taxes, and product or service. Everhour invoices created from billable time and expenses then export to QuickBooks Online as draft invoices, using the default Account and Item Code settings chosen during connection.
Covered employers under the FLSA must keep accurate records for nonexempt workers, including hours worked each workday and total hours worked each workweek. The federal baseline does not require one specific timekeeping system, but the method must be complete and accurate. For U.S. payroll review, daily and weekly totals matter more than a loose monthly summary.
Federal overtime for covered nonexempt employees applies after over 40 hours worked in a fixed 168-hour workweek, at not less than 1.5 times the regular rate of pay. Hours cannot be averaged across two or more workweeks for FLSA overtime purposes. The FLSA also does not require premium pay solely for Saturday, Sunday, holiday, or rest-day work unless weekly overtime or another law, policy, or agreement applies.
A useful QuickBooks time workflow separates three decisions before export: which hours are billable, which client and project receive them, and which rate applies. Everhour invoices can be generated for a selected client, projects, and period. Amounts come from billable hours and expenses, while non-billable tasks stay out of the invoice total.
The integration boundary matters. Everhour sends the invoice to QuickBooks Online as a draft invoice, then QuickBooks manages the accounting record. Everhour continues showing QuickBooks invoice status, number, issue date, and amount, and it flags deleted invoices or changed amounts. Partial payments entered inside Everhour do not sync to QuickBooks Online, so exported invoices should be handled on the QuickBooks side for payment tracking.
A one-off time tracking tool is enough when you need a small set of hours for a single invoice, a short contractor project, or a quick review before manual QuickBooks entry. It works best when one person controls the source data, the client list is short, and the invoice does not need a durable approval trail.
A managed workflow fits teams that need submitted time reviewed before payroll, billing, or reporting. Everhour Team Management supports lock rules, admin time correction, personal tracking limits, weekly capacity, approval workflows, roles, project assignments, team groups, and team-wide time policy defaults. That structure keeps approved hours stable before invoice export or payroll review.

QuickBooks records the accounting result, but a separate time tracking workflow still controls the source hours, billable status, project assignment, and approval record. In an integrated setup, tracked hours and expenses become invoice inputs, while QuickBooks Online receives the exported draft invoice and manages the accounting side.
Review the client, project, date range, team member, billable status, hourly rate, expenses, and non-billable exclusions before export. For U.S. payroll context, records for employees covered by the FLSA minimum wage or overtime provisions should also preserve daily hours worked and total hours worked each workweek.
Non-billable tasks should be excluded from the invoice amount when the invoice is built from billable time and expenses. The practical mistake is treating every tracked hour as invoiceable. Mark internal work, admin time, rework, and excluded tasks before the invoice is created.
QuickBooks Online contacts sync into Everhour as clients, and Everhour invoices export back to QuickBooks Online as draft invoices. That direction keeps client records aligned from accounting, while billable time and expenses move into the invoice workflow after review.
Partial payments added inside Everhour do not sync to QuickBooks Online for exported invoices. Payment tracking for those invoices belongs in QuickBooks Online after export, especially when accounting needs the invoice status, amount, and payment record to stay consistent.
Everhour Team Management lets admins set approval workflows, lock approved periods, correct time for team members, and apply personal tracking limits. Those controls keep submitted hours reviewable before they feed billing, payroll review, or a QuickBooks Online draft invoice.
Track, approve, and lock time before accounting takes over. Everhour Team Management keeps QuickBooks billing workflows grounded in reviewed hours and cleaner invoice handoff.
