Prepare nonprofit payment requests

Use a nonprofit invoice template when the organization charges for a service, facility, membership benefit, event registration, sponsorship deliverable, product, tuition, admission, or contract requirement. These payments directly benefit the payer, so the invoice should read like a payment request for earned revenue, not a charitable gift receipt.

Grant reimbursement requests also need invoice discipline, but they are documentation-driven. Federal award financial records must identify the amount, source, and expenditure of federal funds and be supported by source documentation. A flat invoice line such as "program work" rarely gives a grant officer enough detail. Tie each line to the award, period, approved budget category, and supporting record.

Keep donations out of invoices

Voluntary contributions belong in acknowledgments, receipts, letters, or emails rather than service invoices. A donor who gives $250 or more needs a contemporaneous written acknowledgment from the charitable organization to claim a federal charitable deduction. That acknowledgment lists the organization name, cash amount or property description, and either a no-goods-or-services statement or a description and good-faith value of benefits provided.

Quid pro quo gifts need special care. If a donor pays more than $75 partly as a contribution and partly for goods or services, the charity must provide a written disclosure explaining that the deductible amount is limited to the excess over the value received. Fundraising event tickets, member benefits, and sponsorship packages often need this split between fair market value and contribution portion.

Build the invoice fields

A practical nonprofit invoice includes the organization name, address, invoice number, invoice date, payer name, payment terms, due date, line-item description, service period, quantity, rate, subtotal, applicable state or local sales tax, total due, and remittance instructions. U.S. private-sector invoices do not follow one prescribed federal format, but invoices serve as supporting documents that show business transactions and gross receipts.

A grant reimbursement line can read: "Youth tutoring program staff time, March 1, 2026 to March 31, 2026, federal award ABC-123, approved budget category: personnel, 42 billable hours at $55." An event invoice can separate sponsor booth fees, registration charges, and pass-through venue costs. Membership invoices should separate the benefit portion from any contribution portion when the payment exceeds the fair market value of benefits.
