Use this page when a basic total is too thin for the job. A feature-rich invoice should identify the seller and buyer, assign an invoice number, show issue and due dates, describe each line item, and calculate quantity times rate before the subtotal, tax line, discounts, and total due. It should also state payment terms and remit-to details so the buyer knows where the money goes.
An invoice requests payment. A receipt proves payment received. An estimate or quote gives a pre-work price expectation, with a quote usually carrying firmer commercial weight. Keeping those documents separate matters because the invoice becomes a supporting document for business records. For federal tax records, businesses may choose any recordkeeping system suited to the business if it clearly shows income and expenses.
A strong invoice starts with identity and timing: seller name and address, buyer name and address, invoice date, due date, invoice number, and payment terms. The line-item section should state the service or product, quantity, unit rate, extended amount, discount when used, tax treatment, and total. The payment section should name the payee, payment method, and any reference the buyer must include.
For example, a design agency can list "Landing page design, 12 hours at $125" as one line, then add a separate line for a licensed asset reimbursement. A feature-rich invoice should let you keep those items separate instead of burying them in one total. That makes client review easier and protects the detail you need later for revenue, expense, and project reporting.
Extra fields only help when they answer a real billing question. Useful options include per-line discounts, multiple line items, recurring invoice details, custom payment terms, client notes, purchase order references, and multi-currency presentation when a contract requires it. A logo and clean layout make the document recognizable, but complete commercial details do more work than decoration.
Sales tax needs special care in the United States. There is no national VAT or GST invoice regime and no single national sales tax rate. State and local rules control nexus, product or service taxability, and the place of sale. A United States invoice does not use a national VAT or GST registration number because the country does not have a national VAT or GST invoice regime. Sellers that make taxable sales may need state-level sales-tax registration, such as a seller's permit or sales-tax account where required by the state.
One invoice can separate taxable and non-taxable lines when the tax treatment is correct for the state, local jurisdiction, product or service, and place of sale. FAR 32.905 defines proper invoice fields such as contractor name and address, invoice date and number, contract or order references, descriptions, quantities, unit and extended prices, payment terms, remittance details, defect-contact details, and TIN or EFT banking data when agency procedures require them.
