Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
Use this workflow to connect accounting work in Asana with time records that support billing, review, and client reporting. A useful entry ties the hours to the client, project, task, person, date, and work description. That structure lets you separate monthly bookkeeping, cleanup work, advisory calls, tax preparation, and admin time before the invoice is prepared.
For accountants, the important split is billable versus non-billable work. Client cleanup, reconciliation, payroll setup, and advisory tasks usually need invoice-ready detail. Internal review, practice management, training, and rework may need to stay visible without appearing on a client invoice. The record should preserve both categories so profitability and workload reports do not lose the non-billable part of the week.
A good accounting time record starts at the task level. The task identifies the client work, the time entry records the duration and date, and the billing setup decides whether the entry becomes revenue. A clean record includes a short description such as "Reconciled March bank feed and categorized uncoded transactions" instead of a vague label like "client work."
Rates need the same discipline. Accounting teams often use different rates by person, service line, or project type. A bookkeeper, controller, and tax reviewer should not collapse into one blended number unless the client agreement uses one blended rate. The invoice stays defensible when the time record, billing status, rate, and line-item grouping all match the engagement terms.
The most common mistake is tracking time only after the invoice is due. Recreated entries lose task context, undercount short client questions, and blur non-billable review into billable delivery. Accountants should record time against the Asana task that caused the work, then add a description detailed enough for a manager or client to understand the charge.
Another mistake is treating every Asana task as invoiceable because it belongs to a client project. Billing status belongs at a more precise level. A client project can contain billable reconciliation tasks, non-billable relationship management, and internal quality review. Separate those entries before the invoice run, not after the client questions the total.
A one-off check is enough when you need to total one client's time for one week, review a small cleanup project, or confirm that entries have descriptions before billing. The output should give you a clear view of who worked, which Asana tasks carried the hours, and which time should stay out of the invoice.
A managed workflow matters when multiple accountants submit time, managers approve entries, and invoices need to reflect rates, expenses, discounts, taxes, and payment terms. Everhour can turn tracked billable time and billable expenses into invoices, exclude non-billable tasks, group line items by the structure the client expects, and export invoice drafts to QuickBooks Online, Xero, or FreshBooks.

Start with the client project, then log time on the specific task that caused the work. Add the date, duration, person, billable status, and a description that explains the accounting activity. Useful descriptions name the work performed, such as reconciliation, payroll review, cleanup, advisory preparation, or tax document review.
Internal review, training, practice administration, sales calls, and rework outside the client agreement should usually stay non-billable. Client-facing delivery should follow the engagement terms. Keep non-billable time in reports instead of deleting it, because it explains utilization, margin, staffing pressure, and the true cost of serving each client.
A time note should be specific enough for approval and client review without becoming a journal entry. "Reviewed uncategorized expenses and posted corrections for April close" is useful. "Accounting work" is too broad. The note should identify the accounting activity, the period or file involved, and any client-facing deliverable.
The biggest dispute risk is sending invoice lines that do not connect back to recognizable client work. A total such as "15 hours bookkeeping" gives the client little context. Lines grouped by project, task, person, date, or service category make the charge easier to review and reduce back-and-forth before payment.
Yes, short client questions should be tracked when the engagement treats advisory, support, or communication as billable work. Small entries also reveal which clients consume recurring attention outside scheduled deliverables. Mark the time non-billable when the agreement includes the support or the firm chooses not to charge it.
Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates invoice amounts from rates, and excludes non-billable tasks. Accounting teams can use client defaults, customize invoice terms, and export invoice drafts to QuickBooks Online, Xero, or FreshBooks with status details synced back to Everhour.
Everhour syncs Asana project and task details into one reporting layer, including project names, task titles, custom fields, and tags. Accountants can review billable time, non-billable time, budget remaining, and detailed report columns, then export reports to Excel for client review or internal analysis.
Track approved accounting work on Asana tasks, then let Everhour convert billable hours and expenses into client invoices with cleaner billing handoff.
