Calculating work hours for Indian payroll review

What this calculation answers

A timesheet calculation answers one practical question: how many paid working hours belong to each day and week after break time is removed. For India, the useful output also flags whether a covered establishment needs a closer working-time review under the Occupational Safety, Health and Working Conditions Code, 2020 and related rules, including the 8-hour standard workday and 48-hour weekly baseline.

The result matters before payroll, contractor billing, internal cost allocation, and attendance review. A clean total shows the clock-in time, clock-out time, unpaid rest interval, paid daily total, weekly total, and any day that crossed the local standard. Use 24-hour entries such as 09:00 to 17:30 because they reduce AM and PM mistakes in overnight or late-shift records.

Add the daily totals correctly

Start with the elapsed time between each start and end entry, then subtract unpaid break time. India's central rule requires a rest interval of at least 30 minutes after no more than 5 hours of continuous work, but the central rule does not separately state that the half-hour interval must be counted as paid working time. Your timesheet should therefore show the break separately from the paid total.

For example, an office administrator in India earns ₹420 per hour and records paid daily totals of 8, 8, 9, 8, 9, and 4 hours after unpaid breaks are subtracted. The weekly paid total is 46 hours, and straight-time pay is ₹19,320 before taxes, deductions, overtime premiums, or establishment-specific adjustments. The two 9-hour days need review because the national daily standard is 8 hours for covered establishments.

Apply the India working-time overlay

The India-specific review starts after the arithmetic is complete. For covered establishments, current national baseline facts include an 8-hour standard workday, a 48-hour workweek, one weekly rest day, and a 30-minute rest interval after no more than 5 hours of continuous work. Overtime is generally paid at twice the wage rate under the OSH Code and related central rules.

Night shifts need special handling. The OSH Code treats post-midnight hours in a shift extending beyond midnight as hours worked on the previous day for statutory counting. A 22:00 to 06:00 shift should stay tied to the workday on which the shift began, with break time shown separately. State rules and establishment category can add detail because labor rules in India can vary by allocated area.

Use enough workflow for the risk

A one-off calculation is enough when you need to check a single weekly total, recreate a missing attendance entry, or compare a contractor invoice with a simple schedule. The calculation should still show start time, end time, break length, paid daily hours, and weekly total. That record is easier to audit than a single decimal number copied into payroll.

A managed workflow becomes necessary when the same team submits time every week, managers approve corrections, or payroll needs reports by person, project, location, and pay period. Everhour Reporting turns approved time into customizable reports with 45+ columns, grouping, filters, and CSV, Excel/XLSX, or PDF exports, so payroll review starts from organized records instead of rebuilt spreadsheet totals.

Frequently Asked Questions

What makes an India timesheet total different from a basic hour total?

A basic hour total adds elapsed time. An India timesheet total also keeps break time, daily totals, weekly totals, weekly rest, and night-shift allocation visible for review. For covered establishments, the national baseline uses an 8-hour standard workday, a 48-hour workweek, one weekly rest day, and a required 30-minute rest interval after no more than 5 hours of continuous work.

Should the 30-minute rest interval be subtracted from paid time in India?

The central rule requires the rest interval as a scheduling condition and defines normal work as 8 hours, but it does not separately state that the half-hour interval must be counted as paid working time. Treat the break as a separate timesheet field. Your pay policy, contract, applicable state rule, or establishment category determines whether that interval stays paid.

How should an overnight shift be entered on an India timesheet?

Enter the actual start and end times, then assign the post-midnight hours to the day on which the shift began for statutory counting. The OSH Code treats the following day as the 24-hour period beginning when the shift ends and counts hours worked after midnight toward the previous day. This prevents one overnight shift from being split into two misleading daily totals.

Does a 46-hour week create overtime in India?

A 46-hour weekly total sits below the 48-hour weekly baseline, but daily totals still matter. The OSH Central Rules apply the 2x overtime rate after more than 8 hours in a day for daily wagers or more than 48 hours in a week for other workers. State rules, establishment category, and wage structure can change the exact review path.

Which India timesheet mistake causes the fastest payroll error?

The fastest error is hiding unpaid breaks inside the worked total. A 09:00 to 18:00 entry looks like 9 hours, but a 60-minute unpaid break turns it into 8 paid hours. The timesheet should show both values because the break rule, paid-time policy, and overtime review answer different questions.

How does Everhour Reporting support India timesheet review?

Everhour Reporting turns approved time into customizable reports with 45+ columns, metadata filters, grouping, and date ranges. Payroll or finance teams can export CSV, Excel/XLSX, or PDF reports and review hours by person, project, client, or other synced work details before pay or billing decisions.

Can Everhour timecards capture clock-in, breaks, and clock-out records?

Everhour timecards can track clock-in, clock-out, breaks, and automatic clock-out behavior for teams that need daily work-hour totals instead of task-level time only. Weekly timecards can be submitted and approved, then downloaded as team timesheet data for payroll review or archives.

Turn weekly hours into approved records

Move repeated India timesheet checks into reports built from approved time. Everhour gives teams grouped, exportable payroll review data from the same hours used for work tracking.
