Gross salary math for German payroll

What this calculation answers

An hourly-to-salary conversion answers one practical question: what gross salary matches a stated hourly rate in Germany for a defined schedule. The result starts before wage tax, church tax where applicable, and employee social-insurance deductions. It also stays separate from employer payroll cost, because employer contributions do not reduce the employee's gross salary.

Germany's general statutory minimum wage is €13.90 per hour from January 1, 2026. That floor matters before you annualize any schedule. A rate below that amount fails the basic wage check, while a higher rate still needs the right weekly hours, paid weeks, and pay-period treatment.

Use the right German payroll base

German payroll withholding starts with gross wages. Wage tax uses the Federal Ministry of Finance program flow schedule for machine calculation of wage tax, solidarity surcharge, and the assessment base for church wage tax. The 2026 inputs include tax class, pay period, gross wage, health insurance, pension, unemployment, and long-term care attributes.

Social-insurance deductions come after the gross salary conversion. For 2026, statutory pension insurance is 18.6% total, unemployment insurance is 2.6% total, and statutory health insurance is 14.6% plus a fund-specific supplementary rate. Long-term care insurance is 3.6%, or 4.2% for childless insured persons, with child discounts and Saxony treatment handled through payroll inputs.

Convert hourly pay into salary

The core formula is hourly rate multiplied by weekly hours, then multiplied by paid weeks in the year. For a monthly estimate, divide the annual gross amount by 12. This gives a salary equivalent, not a German net-pay estimate after wage tax and employee social-insurance shares.

For example, an employee earning €21 per hour on a 39-hour weekly schedule has weekly gross wages of €819. Over 52 paid weeks, the annual gross salary equivalent is €42,588. Dividing that annual amount by 12 gives a monthly gross salary equivalent of €3,549.

Match the result to classification

Germany's €603 monthly marginal-employment threshold applies from January 1, 2026 for mini-job payroll classification. A low-hour schedule can cross that threshold even when the hourly rate looks modest. A €15 hourly rate at 9 hours per week equals €585 per month on a simple 52-week annualization divided by 12, while 10 weekly hours equals €650.

Paid vacation also affects payroll expectations. Employees have a statutory annual paid vacation entitlement of at least 24 working days, and vacation pay is based on average earnings from the last 13 weeks before leave, excluding extra overtime pay. Salary conversion should reflect paid work patterns, not only time physically worked on site.

Use a workflow for recurring payroll

A one-off calculation is enough when you need a quick salary equivalent for one rate, one schedule, and one employee. It also works for comparing a job offer or checking whether a proposed schedule clears Germany's 2026 statutory minimum wage floor.

Recurring payroll needs a durable record. Everhour timecards support daily, weekly, and monthly work-hour totals, project-vs-working-hour comparisons, normal-hours highlighting, exports, and Team Hours reporting. Those records give payroll reviewers approved hours before wage-tax withholding, social-insurance deductions, and salary exports are prepared.

Frequently Asked Questions

Is the converted German salary gross or net?

The converted salary is gross pay. German net pay comes later, after wage-tax withholding and employee social-insurance shares for health, pension, unemployment, and long-term care insurance. The conversion gives the payroll base, not take-home pay.

Which German payroll items reduce take-home pay after conversion?

Employee deductions can include wage tax, solidarity surcharge where due, church tax where applicable, and employee shares of statutory health, pension, unemployment, and long-term care insurance. Employer social-insurance shares increase employer cost, but they do not reduce the employee's gross salary.

Why does the weekly schedule matter so much?

The weekly schedule sets the annual hours behind the salary equivalent. A €21 hourly rate at 35 weekly hours equals €38,220 per year over 52 paid weeks, while the same rate at 40 weekly hours equals €43,680. The hourly rate alone does not define the salary.

Does Germany's 2026 minimum wage affect hourly-to-salary conversion?

Yes. Germany's general statutory minimum wage is €13.90 per hour from January 1, 2026. A salary conversion should first confirm that the hourly rate meets that floor, then annualize the rate using the actual paid schedule.

Can a salary conversion change mini-job classification?

Yes. From January 1, 2026, Germany's monthly marginal-employment threshold relevant to mini-job payroll classification is €603. A converted monthly gross amount above that threshold can move the job out of mini-job treatment, so low-hour schedules need a monthly check.

How do Everhour timecards support German payroll review?

Everhour timecards record daily, weekly, and monthly work-hour totals for payroll review. Admins can compare project hours with working hours, review normal-hours highlights, use Team Hours reporting, and export approved timecard data for payroll checks.

How does Everhour help keep salary inputs consistent?

Everhour lets teams submit weekly timecards for approval, then protects approved time from regular member edits. That approval flow gives payroll reviewers a cleaner hour record before converting hourly work into salary-equivalent gross pay.

Turn hours into payroll-ready records

Use approved timecards before repeating salary conversions each pay period. Everhour gives payroll reviewers clear work-hour totals, comparisons, approvals, and exports for cleaner payroll handoff.
