Coordinating shift changes can be messy. Someone needs to reschedule, but reaching out to a manager \u2014 whether it\u2019s a message, a phone call, or a hallway chat \u2014 isn\u2019t always convenient. You have to explain the situation, wait while they check availability, and hope the other person agrees. It takes time, effort, and back-and-forth that often delays a simple swap.<\/p>\n\n\n\n

Now, with our new Swap Shift<\/strong> feature, employees can propose shift trades directly to teammates \u2014 saving time, reducing back-and-forth, and keeping managers out of the weeds (unless you want them involved).<\/p>\n\n\n\n

How It Works<\/h3>\n\n\n\n

When someone needs to reschedule, they can open their shift and click Swap<\/strong>. From there, they can:<\/p>\n\n\n\n

  • Select one or more of their teammates’ shifts they\u2019re willing to swap with<\/li>
  • Add a comment for context<\/li>
  • Send request<\/li><\/ul>\n\n\n\n

    Everyone selected as a potential Taker<\/strong> will receive a notification. The first person to accept<\/strong> the request will trade shift with the requester. Once accepted, the swap is locked \u2014 the request becomes invalid for the rest.<\/p>\n\n\n\n

    Settings That Give You Control<\/h3>\n\n\n\n

    To keep swaps organized and predictable, team admins have two key settings in Team Settings<\/strong>:<\/p>\n\n\n\n

    1. Allow users to swap shifts up to X hours before the shift<\/strong>
      Choose a time limit (e.g. 24, 48, 72 hours). This prevents last-minute chaos and gives everyone time to adjust.<\/li>
    2. Require admin to approve drops and swaps<\/strong>
      If enabled, even after a coworker accepts the swap, it\u2019s pending<\/strong> until an admin reviews and approves it from the Inbox. No changes happen until approval.<\/li><\/ol>\n\n\n\n

      Admins receive notifications, and can Approve<\/strong> or Decline<\/strong> with one click.<\/p>\n\n\n\n

      Why This Matters<\/h3>\n\n\n\n

      Shift Swap is a big step forward in team autonomy. It gives employees more flexibility to solve scheduling conflicts on their own \u2014 and frees up managers to focus on more important tasks.<\/p>\n\n\n\n

      Whether someone has a doctor’s appointment or just needs to switch days, now they can make it happen in a few taps \u2014 no awkward messages, no delay.<\/p>\n\n\n\n
